‘Act As’ Overview

PI Dashboard displays account and project data for account managers and Principal Investigators (PIs).

  • If you have the right permissions, you can ‘Act-As’ someone else and see the PI Dashboard exactly as they see it, including all transaction and labor data.
  • Administrators typically use ‘Act-As’ to support their Principal Investigators (PIs).
  • Act-As is the only way to see accounts where you are not the PI or account manager. No other access models are supported.

Note: To access PI Dashboard, simply log in with your NetID and password; there is no need to request access.

Adding/Updating Act-As Permissions

  • Your Act-As privileges in the PI Dashboard are the same as in the Accounting (OBIEE) Dashboards.

  • Colleges and units are responsible for authorizing Act-As Proxy permissions.

Using Act-As

There are three ways to ‘Act-As’ someone in PI Dashboard:

  • A. In the Act-As tab of PI Dashboard, click the monthly report of the person you want to act-as; EXPEN$E REVIEW opens to that report.

  • B. In the menu of PI Dashboard, click the arrow next to your name and choose a person to ‘Act As’ from the list. The menu will always show the person you are acting as.

  • C. Edit the PI Dashboard URL parameter “actAs=netid” and change the NetID to the person you want to act as.

  • You will see ALL their information, including labor details you may not see elsewhere.
  • The person you are acting as can see any changes to “My Accounts,” project and account nicknames, or notes you make.

NOTE: If you try to act as someone for whom you don’t have permission, you’ll see an error message.

Who Can Act As You

Comparing PI Dashboard and Accounting Dashboard Access Models

  • Since this is an investigator focused tool, ONLY PI/account manager access and “Act-As” privileges are supported; PI Dashboard does not support the full Kuali Data Warehouse access model.

    • The user will see summaries, labor information, and transactions on accounts where they are account manager.

    • The user will see summaries on projects and accounts where they are the PI.

    • PIs will not see transactions on accounts where they are only the PI, not the Account manager.

    • Anyone who is able to ‘Act-As’ someone will be able to see everything that person sees.

  • The following access models that are supported in the accounting dashboards are NOT supported in the PI Dashboard:

    • Labor access control – Labor data access given at the college and department level.

    • Staff accounting – Allows access to view all account and transaction details at the university, except detailed labor.

    • Local account access control – Allows access to specific accounts, or the accounts administered by a specific department or college.
